1. Who is responsible for processing your personal data?

If you use our services, we are the controller for processing your personal data under the General Data Protection Regulation (‘GDPR’). This means that we are able to determine the purposes for which and the means with which your personal data are processed. We consider it our responsibility to treat your data with the utmost care and confidentiality.

 

2. Which personal data do we process and from whom we collect personal data?

If you use one of our services or contact us (for other reasons), we may collect the data you provide directly to us. This includes your first and last name, address details (street name, house number, postal code, city name and country), telephone number, e-mail address, bank details and any other information you (actively) provide to us, for example in correspondence, by telephone or when making an appointment. If you visit our website for business purposes, we also collect your company name, VAT number and your profession. We collect the aforementioned personal data from you for various purposes. For example, we collect your data in order to:

·       identify you as a person and address you properly using your name;

·       be able to process and respond to your enquiries;

·       be able to perform the agreement we have with you;

·       communicate with you in case of comments or feedback;

·       send information requested by you;

·       compile and analyse statistics on the use of our website(s);

·       improve the functionality and user-friendliness of our website(s);

·       to be able to process and deal with any job application from you;

·       comply with any legal obligations, such as collecting data we need for our tax return.

 

In doing so, we may combine the information we have obtained from you with the information we have obtained from other sources, for example through the website(s). This allows us to improve the accuracy and completeness of the information. When you use our website(s), data from you is automatically processed. This includes the following information:

Applications

We also process your personal data when you apply for a job with us. For example, we process your contact details (name, address, telephone number, e-mail address, etc.), education and employment history. We do not collect or process special data about job applicants, e.g. data that reveal your racial or ethnic background, political or religious beliefs union membership, health or sexual orientation. If, due to certain circumstances, sensitive information about an applicant is collected, we will seek explicit, written consent from you as an applicant. 

Special and/or sensitive personal data

We do not intend to collect data on website visitors who are under 16 years of age, unless parental or guardian consent is obtained. However, we cannot verify whether a visitor is older than 16. For this reason, we advise parents to be involved in their children's online activities in order to avoid collecting data on children without parental consent. If you believe that we have collected personal data on a minor without such consent, please contact us using the contact details below. We will then delete this data.

Cookies

To make our website work properly, we use cookie(s). A cookie is a small text file that is placed on your device during your visit to our website. Such a cookie stores information about how you use our website. We also obtain information from such a cookie that is necessary for our website to work properly. 3. How is your data secured?

Your privacy is of paramount importance to us, and we ensure that your data are treated confidentially and with the utmost care. We have therefore adopted appropriate technical and organisational security measures against the loss, theft or otherwise unlawful processing of these data. For example, we ensure that only the necessary persons have access to your data, that access to the data is restricted, and that our security measures are regularly checked. We also encrypt emails and other messages containing special personal data. 

4. With whom will your data be shared?

We may share your personal data with third parties if this is necessary for the performance of the agreement and/or to comply with any legal obligation. Consider the situation where part of the agreement is performed by a third party and the provision of your personal data to that third party is necessary for the proper performance of that agreement, or the situation where the provision of your personal data to a third party is necessary for the handling of your query or complaint. Your data will further only be transferred to persons or entities outside the European Economic Area (EEA) if the relevant country has an adequate level of data protection. 

ActiveCampaign

The marketing automation system used is ActiveCampaign. This database system stores data. When requesting information from our website, we ask for your e-mail address. We process this e-mail address in our database. The data in ActiveCampaign is hosted by them via AWS in the US. For more information see ActiveCampaign:

 

Calendly
For scheduling appointments, we use appointment system Calendly. In order to schedule an online meeting, the necessary contact details are processed. Your data may be transferred to third countries such as the USA. There is no adequacy decision from the EU Commission for the USA. The data transfer takes place, among other things, on the basis of standard contract provisions such as appropriate guarantees for the protection of personal data in view under: https://commission.europa.eu/law/law-topic/data-protection/international-dimension-data-protection/standard-contractual-clauses-scc_en.

 

Google Workspace

We use the services of Google Workspace for our regular business e-mail traffic. This party has taken appropriate technical and organisational measures to prevent abuse, loss and corruption of your and our data as much as possible. Personal data is stored in Google Workspace. Google Workspace stores application data in ISO 27001-certified facilities, ensuring that appropriate technical and organisational security measures are maintained. Google Workspace does not have access to our mailbox and we treat all our e-mail traffic confidentially. 

5. How long will your data be retained?

We do not retain collected data for longer than is strictly necessary for the purpose for which it was originally collected or processed. Insofar as there is no statutory retention period for certain data processing purposes, we will never retain this data for longer than two (2) years after the data is no longer necessary.

6. What rights do you have regarding data processing?

  • Access their personal data
    Individuals have the right to access the personal data we collect and may obtain a copy of this data by contacting us.

  • Rectification
    Individuals have the right to have personal data rectified if it is incomplete and/or erroneous and can make a request for rectification by contacting us.

  • Erasure
    In some circumstances, you have the right to the erasure of your personal data. Those circumstances include:

  • The personal data are no longer necessary in relation to the purposes for which they were collected and/or processed;

  • You withdraw the (explicit) consent you previously provided to process the information;

  • You object to the processing of your personal data and have legitimate, compelling reasons which supersede our interests and reasons for processing your data;

  • You object to your personal data being processed for direct marketing purposes;

  • You are below the age of 16 and our website has collected your personal data;

  • We are obligated to delete your personal data after the time limits set by laws or other regulations;

If we are informed that we are using incorrect personal data, we will not use this data until it has been rectified.
